KCAS is looking for a Contracts Manager

KCAS Bioanalytical & Biomarker Services is seeking a motivated and self-directed individual to work as a Contract Manager within the Client Service division of its bioanalytical laboratory in Shawnee, Kansas. The Contract Manager is a critical support interface between the Business Development and Operations teams. The Contract Manager provides support for Business Development and Operations; including monthly report analysis, identify issues and addressed concerns by customers by phone or in person or via webinar, apply relevant policies to resolve issues, implement process improvements and complete ad hoc Business Development requests as assigned.

Critical Functions 

The Contract Manager is responsible for writing preparing contracts for bioanalytical and biomarker project agreements, vendor agreements, fee for service contracts and confidentiality agreements.

  • Reviewing and writing proposal/contracts for service level performance and verifying contract compliance.
  • Assist in developing quarterly business reviews including statistical data and presenting to staff either in person or via webinar.
  • Review/Audit/Analysis customer data and provide statistical data and forecast trends.
  • Negotiate, prepare and maintain all executed pre-clinical and clinical study agreements, consultant agreements, fee for service contracts, and confidentiality agreements (visitor and company) with professional judgment.
  • Drive conversations with Lab personnel at a technical and scientific level in order to price services and develop unique client proposals.
  • Report and suggest contract terms to senior management in an organized manner.
  • Update and maintain contract files. Update contract status in a contract database or similar system for contract tracking.
  • Prepare and send all study contracts and addendums for execution.
  • Maintain Sales spreadsheet and prepare Pending Contract spreadsheet and send weekly.
  • Review proposed contracts from sponsors and consultants.
  • Assist in managing all aspects of quote and proposal development combined with client pricing and proposal skills.
  • Manage opportunities autonomously, establish clear timelines to meet client requirement, anticipate obstacles and provide solutions.
  • Reviews RFP/quote requests to ensure full understanding of client requirements.
  • Ensures timely delivery of assigned proposals to BD reps.
  • Performs tracking and reporting in SFDC, CMS, and others databases as appropriate.
  • Maintains appropriate knowledge of the technical and regulatory environments.
  • Creates and implements new processes as standards to improve business as a result of process projects assigned.
  • Assist accounting and finance departments with payment schedules described in the contracts.
  • Support other KCAS groups as needed.
  • Attend weekly Business Development meeting.
  • Routinely use data base assigned for sales through company’s CRM system.


Education Requirements

  • Bachelor’s Degree; with Laboratory experience preferred. 5-7 years in Contracts and/or Contract Administration.

  • Excellent customer service skills, attention to detail and ability to be persistent while maintaining tact.

  • Ability to work to deadlines.
  • Ability to read, write and interpret legal documents. Ability to write routine reports and correspondence in a professional manner with client’s contract groups and legal departments.
  • Ability to add, subtract, multiply and divide, using whole numbers, common fractions, and decimals. Ability to compute rate, ration and percent.
  • Above average computer and computer software skills, such as Microsoft Outlook, Excel, Word, Adobe.
  • May include gaining an understanding of the preclinical and clinical study services that are offered by KCAS as well as understanding the terms and conditions common to the CRO, biotechnology and pharmaceutical industries.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
